By browsing, accessing, or using this website, or interacting with our integrated online booking portals, you acknowledge that you have read, understood, and agree to be legally bound by these Terms of Use, alongside our Privacy Policy. If you do not agree with any part of these terms, please discontinue use of this website immediately.

The information contained on this website—including text, graphics, blog articles, educational resources, health promotion reminders, and downloadable materials—is provided exclusively for general informational and educational purposes.

No Doctor-Patient Relationship: Your utilisation of this website does not establish a formal doctor-patient relationship between you and any medical practitioner, general practitioner, or allied health specialist at Sydney Women’s Wellness.

3. Fee and Billing Policy

Sydney Women’s Wellness is committed to providing personalised, high-quality medical and allied health care. To sustain this high standard of clinical service, our practice operates under a transparent, private-billing model.

3.1 Practice Fees

Fees for clinical services are determined at the sole discretion of the attending doctor or allied health practitioner. Fees are set based on the length and overall complexity of the actual clinical consultation and presentation, not solely on the consult type or time length originally selected during booking. All fees are due and payable at reception immediately following the conclusion of your consultation. We accept cash, cheques, EFTPOS, and all major credit cards. Please note credit card transactions processed at the clinic may attract an administrative processing surcharge. Appointed fees for completed consultations or deposits are non-refundable.

Concession and Children: We are a private-billing practice and are unfortunately unable to bulk-bill concession card holders or children.

Financial Hardship: We believe that patient health should not be disadvantaged by financial difficulties. If you find yourself in an exceptional financial position, please discuss this directly with your treating practitioner during your consultation.

3.2 Medicare Rebates and Safety Net

Medicare rebates are accessible for eligible consultations, including GP consults, and Dietitian or Psychologist appointments accompanied by a valid EPC referral or Mental Health Care Plan. These rebates will be processed online on your behalf and paid directly to you by Medicare. It is the patient’s sole responsibility to ensure their banking and address details are entirely up to date with Medicare.

Newborns: If your baby has not yet been formally added to your Medicare card, a fully paid invoice will be issued at checkout for you to claim manually with Medicare at a later date.

Telehealth Fees: Fees for telehealth consultations are equivalent to face-to-face appointments. However, Medicare eligibility rules and specific rebate levels vary dynamically; therefore, your final out-of-pocket costs may differ. Please contact reception to discuss specific rebates.

Medicare Safety Net: Patients who have reached the calendar-year Medicare Safety Net Threshold qualify for higher rebates and lower out-of-pocket expenses. Safety net thresholds reset annually on January 1st. We recommend checking your safety net status via MyGov or Medicare prior to booking.

3.3 Private Health Insurance

Appointments with select allied health specialists may qualify for private health insurance claims depending on the consultation type, the practitioner, and your level of private health coverage. Patients are advised to contact their health fund directly to verify rebate eligibility prior to their appointment.

3.4 Credit Card Preauthorisations, Deposits, and Online Payments

A valid credit card must be provided to secure all appointments, whether booking online, over the phone, or in person.

General Practice Bookings: No payment is taken at the time of booking, with the exception of new patient intakes and extended appointments (40-minute or 1-hour slots). Your card details are securely tokenized via our third-party booking vendor (Automed Systems) to process outstanding invoices, no-show penalties, or late cancellation fees.

Allied Health Bookings (Dietetics Services as of February 2025): A non-refundable deposit of $70 is charged at the time of booking. This deposit will be credited toward your final consultation invoice.

Online/Telehealth Payments: For telehealth sessions, SWW offers secure processing via automated SMS links following your consult. Payments completed through this online portal pass on an integrated merchant and system surcharge via Tyro and Automed Systems totaling 1.75% + 30c for all online fees.

3.5 Cancellations and Non-Attendance (No-Show) Rules

Missed appointments deny other women and families access to clinical care. We enforce strict cancellation windows: General Practice (GP) Appointments: A minimum of 12 hours’ notice is required for

cancellations.

Allied Health Appointments: A minimum of 48 hours’ notice is required for cancellations.

Late Cancellation Fee: A $50 flat fee applies if an appointment is canceled outside of the required notice window.

Short Notice / Non-Attendance: Cancellations made WITHIN 2 hours of a scheduled appointment, or a total failure to attend (no-show), will result in a fee equivalent to the full cost of the scheduled consultation.

Medicare Disallowed: Please note that by law, Medicare rebates cannot be claimed or applied against cancellation or non-attendance fees.

4. Practice Communication Policy

Sydney Women’s Wellness utilises telephone, text messages (SMS), email, post, and fax to facilitate operational and clinical communications.

4.1 General Contact and Triage

• Our telephone lines are attended from 8:00 AM to 5:00 PM, Monday through Friday. Outside of these hours, an automated recording will play. Please note our practice does not operate a voicemail system.

• To protect patient safety, our reception staff utilize a structured triage protocol to assess the urgency of your medical inquiries and route them efficiently to our nursing or clinical team.

• To comply with medical legal protocols, reception staff will perform a three-point identity check on incoming calls to ensure your digital file matches the individual on the line.

4.2 Clinical Contact and Interruptions

• To ensure patient privacy and clinical focus, doctors will not accept telephone interruptions during active surgery/consulting hours.

• Doctors are exclusively available for phone conversations through pre-booked Telehealth appointments, except in immediate medical emergencies. Non-urgent clinical messages left with reception will be relayed securely to the doctor to review between patients.

• All clinically significant phone or digital discussions will be formally recorded within your secure medical file.

4.3 SMS Communications

• SMS messaging is utilised for automated appointment confirmations, health promotion reminders, and health recalls. These communications operate on an opt-in basis requiring explicit patient consent.

• It is your responsibility to inform the clinic immediately of any changes to your mobile contact number. Confidentiality cannot be guaranteed if unverified third parties retain access to your personal mobile device.

• Doctors may transmit electronic prescriptions (eScripts) or specific pathology results directly to your phone via secure messaging frameworks.

4.4 Email Communications and Safety Acknowledgments

Security Notice: Standard external email is inherently non-secure and unencrypted. Confidentiality of personal or medical details sent over email cannot be guaranteed.
Assumption of Risk: Patients initiating communication via email do so entirely at their own risk.

Consent & Identification: If you choose to contact the practice via email, you must include your Full Name and Date of Birth within the subject line. This layout serves as formal patient consent authorising our staff to reply back to your inquiry via email.

Turnaround Times: Our staff endeavor to respond to standard email queries within 72 hours. Email is strictly for administrative use; do not email the clinic regarding urgent matters.

Clinical Boundaries: Doctors do not read, evaluate, or respond to clinical queries sent via email. Any clinical documentation or questions sent to our email inbox will be uploaded directly to your medical file without review and will be formally addressed during your next scheduled consultation.

4.5 Test Results Policy

The clinical status of your tests and investigations will be communicated primarily via SMS.

Normal Results: If your doctor reviews your results and determines no further intervention is required, you will receive an SMS stating "normal – no action required. Should you still wish to go over these details, you must book a separate appointment.

Non-Urgent Follow-Ups: If results require clinical review or context, you will receive an automated message requesting that you contact the clinic to secure;non-urgent appointments;.

Urgent Results: If your results require immediate attention, a member of our clinical team (your doctor or practice nurse) will contact you directly via phone call.

Billing for Results: Follow-up face-to-face or telehealth consultations booked to review and discuss test results are subject to our private billing model and are not bulk-billed.

5. Intellectual Property and Use of Website

All content hosted on this website—including text, clinical descriptions, graphics, logos, images, layout designs, digital tools, and downloadable materials—is the exclusive intellectual property of Sydney Women’s Wellness or its content licensors. You may access, download, or print informational materials for your personal, non-commercial use only. Unauthorized replication, distribution, commercial exploitation, or adjustment of our website materials without prior written consent from our Practice Management is strictly prohibited.
